Why thermal receipts fade
There is no ink on a fuel receipt. That single fact explains everything that goes wrong with it afterwards.
How thermal paper actually works
A thermal printer has no ribbon, no toner, and no ink cartridge. What it has is a row of tiny heating elements and a special paper stock coated with a chemical layer.
That coating contains two key components held apart from each other: a colourless dye compound and an acidic developer. Apply heat and the layer softens enough for the two to meet and react, and the dye turns dark. That reaction is your receipt. The printer is not adding anything to the paper — it is triggering a reaction in a coating that was already there.
This is why thermal printing is so well suited to fuel pumps and truck stops. There is nothing to replace but the paper roll, the mechanism is simple, and it works reliably in a machine that lives outdoors.
It is also why the receipt is not permanent.
The same mechanism that prints it destroys it
If heat is what causes the reaction, then heat is also what the finished receipt is vulnerable to. Warm the whole sheet and you are effectively running the printing process across all of it at once — or degrading the coating so the contrast between marked and unmarked areas collapses. Either way the outcome is the same: nothing readable.
A parked truck in summer is close to the worst environment you could design for this. A closed cab in direct sun gets substantially hotter than the air outside, and it stays that way for hours at a stretch, day after day. A receipt on the dash or in the door pocket is being slowly cooked for weeks.
Sunlight adds a second, independent problem. Ultraviolet light breaks down the dye compound directly, so a receipt in the light is being attacked from two directions at once.
The failure modes nobody expects
Heat and light are the obvious culprits. There are others that catch people out because they seem harmless:
- Plastics. Many soft plastics contain plasticisers that migrate into whatever they touch, and they interfere with the coating. Storing receipts in a plastic sleeve or a vinyl document wallet — which feels like protecting them — can be actively worse than a paper envelope.
- Oils and solvents. Diesel, hand cleaner, grease, and hand sanitiser all attack the coating. Handling a receipt at a fuel island with dirty hands is not a neutral act.
- Friction. The coating sits on the surface. Rubbing wears it, which is why a receipt loose in a pocket for a week is often smeared even if it has been nowhere near heat.
- Other thermal paper. Stacked face-to-face over time, receipts can transfer chemicals between sheets and mark each other.
Notice how many of these are consequences of ordinary careful storage. The plastic wallet in the glovebox is a genuinely well-intentioned solution that makes the problem worse.
How long you have
Honestly: it depends, and anyone who gives you a specific number is guessing. Paper stocks differ, coatings differ, and conditions differ enormously between a receipt in a cool cab in October and one on a dashboard in Texas in July.
What can be said without inventing precision is the direction of travel. The degradation starts immediately and never reverses. There is no point at which a fading receipt stabilises, and there is no way to restore one once the text has gone. Recovery is not a service that exists.
The practical consequence is that the value of a thermal receipt is highest the moment it is printed and declines from there. Which inverts the usual instinct about paperwork, where the sensible move is to deal with it later when you have time.
What actually works
You cannot stop the chemistry. What you can do is take a copy while the original is still readable.
A photograph does not fade. Once the image exists, the thermal receipt can do whatever it likes — the record has already been made, at the moment the paper was at its most legible. That is the entire logic behind capturing at the pump rather than filing at home.
It also reframes the storage question. If the photo is the record, then the glovebox stops being a filing system and goes back to being what it is good at: holding things you have already dealt with. No plastic wallet required.
One thing worth checking: if you are relying on photographs, confirm early that they are genuinely readable rather than assuming. A capture habit producing blurry images feels like it is working right up until the moment you need one.
